Voicemails can be either emailed, emailed as a notification to tell you you have a voicemail or can be left on the phone.
- If the voicemail is emailed to you, you will require either a speaker or headphones for your PC.
if the content you are listening to is likely to be confidential then you should probably use headphones unless you are in a private office or where people that can hear the message are "allowed" to hear the content.
In the body of the email you are told the time & date of the call together with the persons caller ID if available.
The voicemail is deleted from the system at the point it is emailed. - If you get a voicemail notification then you get the same content in the body of the voicemail email as you do above, however you do not get the voicemail file attached.
So you would know who left the message, date and time however would need to use the phone or app/soft phone to collect the voicemail. - If you choose to have the voicemails available on the phone only the red LED lights up on Yealink handsets to show you have a voicemail. (this is often at the top right of the handset)
From a handset:-
Press the button that looks like an envelope or a "tape cassette" and this rings the voicemail service in speakerphone mode (or if you pickup the handset before pressing the button then it does it through the handset)
Once you have pressed this button, follow the interactive prompts to enter your voicemail PIN number and then subsequently retrieve messages and delete them after.
From the app:-
Press the three dots on the left hand side, then select voicemail
You will see a list of messages where you can download, play, play on phone & delete using the various icons.
The caller number and date/time of call is shown on the row of the voicemail list.
Please ensure messages are deleted as soon as they are listened to (via both via app and handset) or as soon as practical thereafter.
Note, any recordings left on handsets for longer than 30 days MAY BE deleted, if your mailbox gets full then callers will not be able to leave messages so please ensure you clear out messages once you have listened to them.
We dont recommend the use of the voicemail being emailed to you plus retaining the voicemails on the phone as generally users listen to the recordings through the email and dont clear them from the phones resulting in full mailboxes of which messages would have to be cleared by the user one by one.

PIN numbers are confidential and should be treated like passwords as they do serve other security functions within the phone system - so for example, they shouldn't be left on a post-it note near the phone!
